The first step involved in developing or reviewing a patient information resource is identifying the need for a new resource or for review.
- For new resources you may recognise a need through clinical practice etc.
- For reviewing resources you may identify a need for review from a notification from us that your resource has expired (after 3 years), a change in service, or patient feedback.
To create a new resource you will need to fill out the Patient Information Proposal Form, and to review an existing GEH resource you will need to fill out the Patient Information Review Form. Within both forms you will initially need to identify details about the resource and gain approval for it from your Service Lead. A Service Lead is someone who has responsibility for your service or department and will take ongoing responsibility for the Patient Information Resource, including being a point of contact for review.
As part of the process to identify the need for a resource, the Knowledge and Library Service will undertake a review of existing external resources that could be used instead of an internal GEH authored resource, and will send you the search details and results. It is part of the Patient Information Resource Policy and Procedures that external leaflets are used wherever possible, as long as they satisfy the service requirements.
You will need to review the external resources provided by the Knowledge and Library Service to decide if they can or can’t be used in place of a bespoke GEH resource, recording your answer on the form and obtaining sign off from the Service Lead for your decision. For resources undergoing review specifically, you will also need to identify the amount of changes that will be required.
If you can use an external resource in both processes, you can now move to Step 3: Approval. If not, you will move to Step 2: Create New or Step 2: Review Existing below. Please note: if a reviewed resource is judged to require a complete re-write, you will need to create a new resource and start using the Patient Information Proposal Form, retaining the Patient Information Review Form to show the decisions made up to that point.
